Kemnal Technology College is looking to appoint an Attendance Officer who will look to drive and promote whole College attendance.  We are looking for an enthusiastic team player who will work with all key stakeholders of the College in a professional, calm and effective way in line with the College’s Attendance Policy. 

The role is term time only, 39 weeks per year and 36 hours per week.

The College is a popular school and this September we welcomed girls into the Y7 cohort.  Situated in attractive grounds in the south of Bromley, the College is located within easy reach of the M25 with good access to central London to the north and to the beautiful Kent countryside to the south.

Five GCSE’s A*-C or equivalent (level 2 standard), including English and Maths


Willingness and ability to obtain and/or enhance qualifications and training for development in the role









Knowledge of school attendance regulations


Knowledge and awareness of child protection issues








Experience within a school attendance related role


Experience of using SIMS software


Experience of working within a school environment


Practical experience of using Microsoft Office, email, excel and other IT applications








Competent using ICT, especially Excel, including data inputting skills

Purpose of Role::

  • Responsible for the management, administration and organisation of an effective and efficient attendance system that monitors and improves attendance across the College.

Key Responsibilities:

Carry Out All Duties And Responsibilities In Accordance With College Policies And Procedures And Statutory Requirements.

  • To operate the chosen College management information system.
  • To manage the processes for recording, monitoring and reporting student’s attendance.
  • Liaising with parents/carers by telephone and/or letter regarding attendance and punctuality concerns.       
  • Raising the profile of attendance around the College.
  • Meeting with parents at College to identify and resolve attendance problems and explain the legal responsibilities.
  • To send SMS messages/Parentmail to students/parents for information.
  • To be qualified in and provide First Aid.
  • To liaise with SEN to keep student medication/information records up to date..
  • Monitoring and weekly reporting of student punctuality, identifying and referring persistent late pupils 
  • Ensuring gate duty is completed each morning
  • Monitoring and reporting of Attendance system across the whole College
  • Daily monitoring and weekly reporting of student truancy and sending out ‘Truancy Calls’ to parents as well as
  • Flagging safeguarding issues immediately if students are missing from lessons.
  • Keep updated a list of known “truanters” and prioritise effective management of those students
  • Liaise and support Heads of Year with the safety and wellbeing of students
  • Liaise and support key staff the logging and reporting of whole College and SLT detentions for lates/Truancy and Punctuality
  • Analysis and evaluation of Attendance data, Truancy and Punctuality figures
  • Attend and participate in regular meetings where relevant
  • Identify, record, report  and monitor both authorised and unauthorised absences
  • Responsible for managing the College’s Student Attendance Line and taking appropriate action
  • Responsible for the maintenance of the College roll in support of correct attendance data.
  • Recording, liaising and informing the LA of CME and EHE
  • Understand the legal requirement in education and keeping children safe
  • Undertake other duties as may reasonably be expected
  • Ensure all students are registered in every lesson
  • Track and resolve missing registers keeping an accurate and up to date record
  • Work with Form Tutors to rectify unexplained absences
  • Contribute to the School Census
  • Communicate effectively with key members of staff to inform when assigned tasks are completed and records updated
  • Alert the Head of Year of when unauthorised absences occur
  • Monitor individual student absence and alert Heads of Year of any concerns
  • Create/publish the whole school attendance tracker tool on a weekly basis.
  • Create/publish other relevant statistics for each student/Tutor Group/year group/whole College as necessary.
  • Monitor and alert Form Tutors, Head of Year and Deputy Headteacher if unauthorised codes exist due to parental consent not being submitted and/or teachers not updating registers with correct codes
  • Work closely with SEAAS (South Eastern Attendance Advisory Service)  to ensure that non- attendance is addressed and resolved-including the issuing of court warnings and fines
  •  Meet with key members of staff regarding attendance on a weekly basis and keep notes on each meeting
  •  Liaise with the Attendance Service to co-ordinate home visits
  •  Prepare, send and electronically file attendance and punctuality letters in accordance to  Attendance Policy.
  • Prepare and produce individual letters to parents with personalised attendance data  Insert the correct codes, in advance, for school trips
  • To provide first aid treatment when required
  •  To support reception staff in dealing with parents and students if required
  • To cover reception and assist with admin duties when required

Performance Management

  • The standards of the post holder will be measured through Kemnal Technology College’s Appraisal system by setting targets linked to this job description.  The job description will be reviewed annually at the appraisal meeting.
